Club Credits

When a club event is cancelled or you cancel early, you receive Club Credits — redeemable within that specific club.

  • Only redeemable within that specific club
  • Convert to Harley Credits if the club disbands
  • Issued when: host cancels, or you cancel 24+ hours before

Heads up

If you leave a club, you forfeit any Club Credits. You'll get a warning first — no surprises.

Pay the host directly

Individual events are arranged between you and the host — cash, bank transfer, however works best.

  • No online payment through Harley
  • No credits issued (no platform payment to credit back)
  • Refunds are handled directly with the host

Club events

  • 24+ hours before — Club Credits for the event price (Service Fee is not included)
  • Under 24 hours — No credits or refunds

If the host cancels

  • You're notified immediately via app and email
  • Club events: Club Credits for the event price issued automatically (Service Fee is not refunded)
  • Individual events: No credits — resolve directly with the host

How credits apply

Club Credits automatically apply when you register for events within that club. No codes, no fuss. Because credits bypass card payment, you won't be charged a Service Fee on that booking either.

No surprises. No hidden fees. Just clear pricing.

What you pay

Two things, clearly shown before you book

01 — Event registration fee

Set by the host. Covers venue, equipment, organiser costs — whatever it takes to make the game happen.

02 — Service fee

Harley's platform fee for service quality and fraud prevention. 3% or $0.50 AUD, whichever is greater.

How payments work

  • Payments are processed securely through Stripe
  • Your payment information is encrypted and never stored by Harley
  • Payments go directly to the host via their Stripe account
  • If a club event is cancelled, you receive Club Credits automatically

Requesting cash refunds

Club Credits are the standard resolution for cancelled club events. But if you need cash back, we understand.

Our recommendation

Keep your Club Credits for future events — they don't expire while the club exists and apply automatically at checkout.

If you need a cash refund:

All your Club Credits across all clubs will be converted

Important details

  • You cannot request partial refunds or select which credits to convert
  • All Club Credits across all clubs are converted to cash
  • Individual events are paid directly to hosts — Harley cannot process those refunds

Refund requests are reviewed within 5 business days and processed within 5–10 business days to your original payment method. The refunded amount matches your Club Credits balance (event prices only — Service Fees are not included in credits).

After every event

Verify it happened — it takes seconds

After each event, you may be asked to confirm it went ahead as planned. This quick step protects everyone — and builds a stronger, more trusted community.

  • Hosts can request all players verify the event occurred
  • Your verification helps build a strong case if disputes arise
  • The more verifications, the stronger the evidence

Before you report

Take a breath. Then take these steps:

Document everything

Photos of the venue, screenshots of messages, timestamps proving you were there.

Contact the host

Message them through the app. They might just be running late.

Wait it out

Stay at least 15 minutes past the start time before leaving.

How to report

Submit all evidence: communication logs, photos, screenshots, proof of attendance.

Investigation begins — completed within 5 business days.

Investigation & outcomes

Harley reviews evidence from both sides — your documentation, the host's response, event verifications from other players, and check-in data.

Host guilty: You receive Club Credits for the event price (Service Fee is not refunded)

Report invalid: No credits issued

Inconclusive: Harley makes final determination based on evidence quality

A note on integrity

False or malicious reports can result in account restrictions. Only report legitimate no-shows with strong evidence.

What if I have an issue with another player?

Try to resolve it respectfully and directly. If it persists, report through the app. For serious safety concerns, contact Harley support immediately.

Can I get a refund if the event wasn't as described?

Contact support within 24 hours with evidence. We'll investigate and may issue credits.
