Cancellation Rules

If You Cancel

Individual Events:

  • Non-refundable when you cancel

Club Events:

  • Cancel 24+ hours before – Full Club Credits (including processing fees)
  • Cancel 24 hours or less before – No credits or refunds

If the Host Cancels

  • You're notified immediately via app and email
  • Full credits automatically issued within minutes
  • Credits include both event fee and processing fee
  • Individual events: Harley Credits
  • Club events: Club Credits

What You Pay

When you join an event, you pay:

1.

Event registration fee

Set by the host (covers venue, equipment, organiser costs, etc.)

2.

Payment processing fee

Small charge from our secure payment provider (3% or $0.50 AUD, whichever is greater)

The price you see is the final price—no hidden fees. All costs are shown clearly before you confirm.

Event price: $16.00
Processing fee: + $0.50
You pay: $16.50

How Payments Work

  • Payments are processed securely through Stripe
  • Your payment information is encrypted and never stored by Harley
  • Funds are held until the event is completed
  • You're protected if an event is cancelled or doesn't happen as described

Requesting Cash Refunds

Credits are the standard refund method, but you can request a cash refund if needed.

💡 Recommendation

We recommend keeping your credits to use for future events—they never expire, apply automatically at checkout, and you avoid the processing fee deduction.

If you need to request a cash refund:

  1. 1. Go to Profile → Help & Support → Refund
  2. 2. Provide your reason and any supporting documentation
  3. 3. All your available credits will be converted (Harley Credits + all Club Credits combined)

ℹ️ Important

  • • You cannot request partial refunds or select which credits to convert
  • • When you request a cash refund, all your credits across all clubs will be converted to cash
  • • A processing fee applies to the total refundable amount

Processing Fee:

A processing fee of 3% or $0.50 AUD (whichever is greater) applies to the total refundable amount.

Examples:

Example 1: You have $100 in total credits (Harley Credits + Club Credits)

  • • Processing fee: $3.00 (3% of $100)
  • • Cash refund: $97.00

Example 2: You have $15 in total credits

  • • Processing fee: $0.50 (minimum fee applies, as 3% would be $0.45)
  • • Cash refund: $14.50

Example 3: You have $30 Harley Credits + $25 Club A Credits + $15 Club B Credits = $70 total

  • • Processing fee: $2.10 (3% of $70)
  • • Cash refund: $67.90

Refund requests are reviewed within 5 business days and processed within 5-10 business days to your original payment method.

How to verify events and report issues when hosts don't show up

Verifying Events

After each event, you may be asked to confirm the event went ahead as planned. This verification protects both players and hosts:

  • Hosts can request all players verify the event occurred
  • Your verification helps build a strong case if disputes arise
  • The more verifications received, the stronger the evidence

Always verify events you attend—it takes seconds and helps the community.

If a Host Doesn't Show Up

You can report it—but only if you have evidence

Investigation & Outcomes

Harley reviews evidence from both sides, including your documentation, host's response, event verifications from other players, and check-in data.

Note

If more players verified the event happened than reported a no-show, this strengthens the host's case.

Possible Outcomes:

Host guilty: You receive full credits (event price + processing fee)

Report invalid: Host payment released, no credits issued

Inconclusive: Harley makes final determination based on evidence quality

False or malicious reports can result in account restrictions. Only report legitimate no-shows and always provide strong evidence.

Communicate Well

  • • Respond to event-related messages within 24 hours when possible
  • • Let the host know if you're running late
  • • Keep group chats on topic and respectful

Safety & Responsibility

You're Responsible For:

  • Your own safety and wellbeing during activities
  • Ensuring you have adequate fitness and medical clearance
  • Using appropriate safety equipment
  • Following rules and instructions from hosts
  • Having appropriate insurance coverage

If Something Goes Wrong:

  • Medical emergency – Call 000 immediately
  • Injury or incident – Report to the host and seek medical attention
  • Safety concern – Contact the host or report through the app
  • Dispute or complaint – Use in-app support to escalate

Everything you need to know

Many events and clubs welcome beginners! Look for events that specifically mention "all skill levels" or "beginner-friendly" in their descriptions. Don't be intimidated—everyone started somewhere.
Individual events are non-refundable when you cancel. For club events, you can cancel 24+ hours before the event for full Club Credits (including processing fees). Cancel 24 hours or less before and you receive no credits.
