2. HARLEY'S ROLE IN PAYMENTS
2.1 Technology Platform with Stripe Direct
Harley operates as a technology platform that connects Players with Hosts. For Club Events, we use a Stripe Direct model where Hosts connect their own Stripe accounts and have full control over their payment processing.
Our Role:
- Technology platform provider connecting Players and Hosts
- Service Fee collection
- Credit system management for cancellations
- Transaction record keeping and reporting
What We Do NOT Do:
- Hold or custody event payment funds—payments go directly to Host Stripe accounts
- Control or delay Host payouts—Stripe pays Hosts immediately
- Process refunds for event payments—Hosts manage refunds through their Stripe accounts
- Guarantee event occurrence or Host performance
Important: Due to the nature of the Stripe Direct arrangement, all payments are paid directly to Hosts via their connected Stripe accounts. Harley does not hold, custody, or withhold any funds on behalf of Hosts at any time. Hosts receive their payouts directly from Stripe, and Harley has no ability to access, delay, or control these funds.
2.2 Stripe Direct Model
Club Events use Stripe Direct once the Host has completed Stripe onboarding. This means:
For Hosts:
- You connect your own Stripe account to receive payments
- You receive payouts immediately when Players register (subject to Stripe's standard payout schedule)
- You have full control and responsibility over your payment processing
- You are responsible for managing refunds and disputes through Stripe
- Stripe Fees are deducted from your payout
For Players:
- You pay the event price set by the Host plus Service Fee
- Payment is processed immediately at registration
- For cancellations within the cancellation window, you receive Club Credits (not cash refunds)
2.3 Payment Collection by Event Type
Individual Events:
Individual Events do not have online payment collection and no fees apply. All Individual Events are public by default. Hosts may track payment status (paid/unpaid) within the app, but actual payment is arranged directly between the Host and Players outside the Platform.
Club Events:
Payment collection is automatically enabled for all Club Events once the Host has completed Stripe onboarding. Once enabled, payment collection cannot be disabled. Players pay at registration via Stripe and Hosts receive immediate payouts.
3. PAYMENT PROCESSING STRUCTURE
3.1 How Our Payment System Works
Payment Flow Overview (Club Events):
When a Player registers for a Club Event:
Step 1: Player Registration and Payment
Player registers for event → Player pays event price + Service Fee → Payment processed via Stripe
Step 2: Stripe Fee Deduction
Stripe deducts Stripe Fee from the total payment amount
Step 3: Payout Distribution
Stripe pays Host their portion (event price minus Stripe Fee) → Stripe pays Harley the Service Fee
Payment Example:
- Event price set by Host: $20.00
- Service Fee: $0.60
- Player pays at registration: $20.60
- Stripe Fee applied on $20.60 (estimated): $0.66
- Host payout (estimated): $19.34
- Stripe pays Harley: $0.60
Note: Stripe Fee and Host payout amounts are estimates. Actual amounts are available on the Stripe dashboard.
3.2 For Players - Payment and Registration
Club Events:
When you register for a Club Event, you pay immediately at checkout. The total amount includes the event price set by the Host plus the Service Fee.
What You Pay:
- Event price: Set by the Host (must be rounded to nearest $0.50)
- Service Fee: calculated on the event price
- Total: Event price + Service Fee
Individual Events:
Individual Events do not have online payment collection. You arrange payment directly with the Host (cash, bank transfer, etc.). The Host may track your payment status in the app as paid or unpaid.
Payment Methods:
For Club Events, we accept credit/debit cards (Visa, Mastercard, American Express), Apple Pay, and Google Pay.
Cancellation and Credits:
If you cancel a Club Event registration within the cancellation window (typically 24 hours before the event), you receive Club Credits equal to the full amount paid (event price + Service Fee). Club Credits can only be used for future events within the same Club. See our Cancellation and Refund Policy for full details.
3.3 For Hosts - Stripe Direct Payments
Setting Up Payments:
To receive payments for Club Events, you must:
- Create or connect a Stripe account through the Harley app
- Complete Stripe's verification requirements
Once Stripe onboarding is complete, payment collection is automatically enabled for all your Club Events and cannot be disabled.
Immediate Payouts:
When a Player registers and pays for your Club Event, you receive the payment immediately in your Stripe account. Stripe then transfers funds to your bank account according to your Stripe payout schedule (typically 2-3 business days for Australian bank accounts).
What You Receive:
You receive the event price minus the Stripe Fee. Current Stripe Fee rates are published at stripe.com/au/pricing.
Your Responsibilities:
With Stripe Direct, you have full control and responsibility over your payments:
- Managing your Stripe account settings and payout schedule
- Handling refunds and disputes through your Stripe dashboard
- Responding to chargebacks filed by Players
- Maintaining accurate banking information in Stripe
- Complying with Stripe's terms of service
3.4 Event Pricing Rules
Price Rounding:
Event prices must be rounded to the nearest $0.50 AUD. This ensures clean pricing and consistent fee calculations.
Examples:
- $15.00 ✓
- $15.50 ✓
- $15.25 ✗ (must be $15.00 or $15.50)
3.5 Club Credits
For information about Club Credits issued for cancelled events, see our Cancellation and Refund Policy.
